How do I send a rejection message to prospective tenants?

It is a very good idea to send a rejection message to the property seekers you have not selected.

In your BoligPortal inbox, you can send rejections to all property seekers who have shown interest and are eagerly waiting for a response from you with just a few clicks.

By using 'Standard Messages', you have several options to easily give the property seekers a proper rejection.

How to find the standard rejection message in the inbox 

With a standard rejection message, you can easily send the same message to multiple tenants without having to formulate it anew each time you want to send a rejection. 

All users have a pre-formulated rejection message among the standard messages, which you can choose to use or edit: 

  1. Click on any conversation in your BoligPortal 'Inbox'

  2. Click on 'Standard messages' at the bottom of the screen, just below the conversation text field.

           

         

  3. A box will now appear on the left side of your screen. Here you will find the standard rejection message, titled 'Afslag - Oprettet af BoligPortal'.
    Please note that the standard messages are written in Danish.

           

    The translated text of the standard rejection message reads as follows:

    "Hello. Unfortunately, you have not been selected for the rental property as I have decided to proceed with other candidates. However, I want to thank you for your interest in the rental property and wish you good luck with your continued housing search."

     

  4. Click on the text box to insert it into the conversation. 

 

Edit BoligPortal's standard rejection message

  1. Go to your 'Standard messages'

  2. Click on the three vertical dots

  3. Click 'Edit'

           

  4. You will now see two text boxes where you can edit the text and the message title.

    The title is only for your own reference and will not be shown to the property seekers when you send the message.

 

Send rejection messages when the property is marked as rented out

When you mark your property as rented out, you will have the option to send a rejection message to all property seekers who have contacted you regarding the property.

 

  1. Select 'Advertised rentables' in the blue menu on the left side of the screen

  2. Click on the three vertical dots next to the rental property you want to mark as rented out

  3. Click on 'Mark as rented out'
     

           

  4. You will now have the option to select who you have chosen as the tenant of the property. You can also proceed by clicking 'Skip selection'.

    Regardless of what you choose, in the next step you can choose to send rejection messages to the remaining property seekers.

           

             

  5. You now have the option to send rejection notices to the property seekers you have not selected as the new tenant for the property. Ensure that the checkbox marked 'Send rejection to property seekers' is checked. 

    Now, select the standard message with the rejection notice you wish to send. You can also edit the text before proceeding. 

                  

  6. Click 'Yes continue' and then confirm that that you want to mark the rental property as rented out and send rejection notices to the property seekers. 

  7. The listing is now marked as rented out, and all the remaining, unselected property seekers have received a rejection notice in their inbox.
