This guide assumes that both the tenant and the landlord are present at the moving inspection.

Is the tenant not present? Follow this guide.
Does the tenant refuse to sign the report? Follow this guide.

When you have completed the move-in/move-out report with all the issues and gone through all the rooms and units with the tenant, both you (as the landlord or representative) and the tenant(s) should sign the report.

We strongly recommend using BoligPortal's inspection report app for this, as it allows for easy digital signatures directly on your phone or tablet.

How to sign the report

This is an article about BoligPortal's free service for conducting and managing moving inspection reports, which is currently available in Danish. Therefore, images and some phrasing in this guide may appear in Danish.

If you have any questions or need assistance with your moving inspection reports, you're always welcome to contact BoligPortal's Customer Service

  1. Go to the 'Afslut, underskriv og send' section once you have completed all parts of the inspection
It's essential to sign only when all the information is correctly filled out, including 1) Inspection details, 2) Tenant information, 3) Room inspection, 4) Meter readings, and 5) Keys.

Also, ensure that you have filled out the tenant's information accurately, including their phone number and email address, as the tenant will receive a copy of the report here, along with a link for confirmation of receipt.

  2. Review, sign, finish and send the report together with the tenant
Follow the instructions on the screen or continue reading below:

    1. Review the report together on the landlord's device

We recommend that you review the final report together so that all parties are clear on what they are signing. You can do this by clicking on the 'Gennemse rapport' (Review Report) button, and the preliminary (Danish) report will appear on the screen.

The reason you should review the report together is to have a chance to catch any misunderstandings or input errors before signing.

    2. Signature from the landlord
Click on the white field to open the signature function. After that, the landlord can sign the report directly on the screen using a finger or screen pen.

If you write incorrectly, you can delete the signature before it is saved and try again. Save the signature to close the signature field.

    3. Once the landlord has signed, the tenant will receive a link to the report in an SMS and email
After that, the tenant should click on the link in one of the messages, as this will activate a confirmation message of receipt in the final report. This way, you ensure documentation that the tenant has received a copy of the report, as required by the rental law.

    4. Signature from the tenant
Click again on the white field to open the signature function. After that, the tenant can now sign the report directly on the screen using a finger or screen pen.

    5. Complete and send the report
Save and conclude the moving inspection report including the signatures by clicking the button 'Afslut og send'.

    6. Both the landlord and the tenant will now receive a confirmation of the completed move-in/move-out inspection via email

The email contains a confirmation that there is now a signed report associated with the lease.

The email also includes a link that directs the parties to their respective pages:

The landlord is directed to their inspection overview:

      The tenant
is directed to their tenant portal:
