If your tenant does not want to sign the report during the inspection, they are free to click 'Afvis at underskrive' (decline to sign) in the signature field.
However, there are some specific conditions and functions you should be aware of if the tenant refuses to sign the inspection report.
Note: The tenant’s signature only confirms receipt of the report. It does not indicate agreement with the content.
If you want to add an extra signature field where the tenant (optionally) confirms agreement with the report’s content, read more here.
What to do if the tenant refuses to sign the inspection report
This guide explains what you as a landlord should do if the tenant refuses to sign the inspection conducted and completed using BoligPortal’s inspection tool.
Read more about how to create and complete an inspection using BoligPortal’s tool here.
Note: BoligPortal's digital moving report service is only available in Danish, which is why some images and words in this guide appear in Danish.
- Go to 'Afslut, underskriv og send' in the inspection builder
- Click 'Underskriv udlejer' to sign the inspection report as landlord
- Wait until the tenant receives an SMS or email notifying them that the inspection report has been delivered — and ask the tenant to click the link or button in that message
If the tenant clicks the link, a timeline entry will automatically be created in the report confirming that they received and opened it.
- Ask the tenant to open the 'Underskriv lejer' signature field and click 'Afvis at underskrive'
The signature field will then be marked with the text “Afviste at underskrive" (Declined to sign).
- Click 'Send og afslut' to complete the unsigned inspection
The tenant will then receive an SMS and email with the subject “Flyttesyn: Bekræft modtagelse” which includes a link to the inspection report.
The message will instruct the tenant to confirm receipt of the inspection report by sending you an email.
- Ask the tenant to send you an email or other written confirmation that they received the final inspection report
Important: If the tenant does not confirm receipt in writing, you must send the report by postal mail with proof of delivery within 14 days after the inspection was completed.
All tenant actions are recorded in the timeline of the final inspection report with date and time stamps — including whether the tenant was physically present, clicked the direct link to the inspection report, and signed the report.
This allows you to document the full process if the tenant later disputes how the inspection was carried out.
Once the inspection is completed, it will be stored in your profile under 'Inspections'.
