What do I do if the tenant is not present at the moving inspection?

When conducting an inspection, we recommend that both the landlord (or a representative) and the tenant are physically present. This allows all parties to sign and influence how the inspection report is prepared, ensuring the process reflects the interests of both landlord and tenant. 

If the tenant cannot be physically present at the inspection, you should recommend that they send another person, such as a friend, partner, or family member, who can attend on their behalf.


In this guide, we explain what to do if the tenant either sends a representative or is not present at all.

How to complete your inspection if the tenant is represented by someone else

If the tenant cannot attend the inspection in person and sends someone as a substitute, that person must bring a power of attorney.

The power of attorney must include the tenant’s consent for the representative to attend and sign the final inspection report on the tenant’s behalf. 

The power of attorney can be brought as a physical document, or shown via email or SMS. 

 

When you reach the 'Lejeroplysninger' section in the inspection, click the option 'Repræsenteres af fuldmagtshaver'. 

Then fill in the representative’s details and add a photo of the power of attorney by clicking '+ Tilføj billede af fuldmagt'.

Once the inspection is completed, the representative will receive the inspection report by SMS and email and will confirm receipt by signing on behalf of the tenant.

 

 


 

How to complete your inspection if the tenant is not present and has not sent a representative

If neither the tenant nor a representative attends the inspection, you must instead select 'Nej, er ikke til stede' under 'Lejeroplysninger' in your inspection.

This will cause the signature field for the tenant in the final step of the inspection to automatically be marked with the text “Lejer er ikke til stede" (Tenant not present).

As soon as you as landlord have signed the report — that is, before clicking 'Send og afslut' — the tenant will receive an SMS and an email with a copy of the inspection report.

The tenant will also be instructed to send you an email confirming receipt of the inspection report.

If the tenant is not present and has not sent a representative, this will be clearly indicated – both in the final inspection report and in your inspection overview on your profile.
