How do my tenant and I sign the moving inspection report?

Once you have completed BoligPortal’s digital inspection together with the tenant to review all rooms and units in the rental, including any defects and deficiencies, the inspection report must be signed by all parties.

We recommend downloading BoligPortal’s inspection app to sign the report, as you can sign directly on the screen.

Download the app for your Android device here.

Note: BoligPortal's digital moving report service is only available in Danish, which is why some images and words in this guide appear in Danish.

How to sign the report after the inspection is completed

Note: This guide assumes that both landlord and tenant are physically present at the inspection.

If the tenant is not present, follow this guide.
If the tenant refuses to sign the report, follow this guide

  1. Go to the 'Afslut, underskriv og send' tab in the inspection, once the entire inspection is completed
Go to 'Finish, sign and send' tab in your inspection.png
It’s important that the entire inspection is completed before signing, as you cannot make changes to a signed inspection report.

You must also ensure that the tenant’s details, including email address and phone number, are entered correctly, as the report and confirmation link are sent to these.

  2. Click 'Gennemse rapport' and go through the completed report with the tenant

This allows both of you to review everything entered during the inspection and gives a clear understanding of what is being signed.

It also helps identify any misunderstandings or typos before signing the report.

  3. Sign as landlord by clicking the 'Underskriv udlejer' field

You sign by writing directly in the field with your finger (or with a mouse, if using a computer).

If you make a mistake, you can delete the signature before saving and try again. Save the signature by closing the signature box.

  4. Wait for the tenant to receive a copy of the report via SMS and email, and ask the tenant to click the link in one of them
Ask tenant to click the link in email.pngAsk tenant to click the link in SMS.png
The tenant must click the ' Se flytterapport' button in the email or the link in the SMS.

The inspection can still be completed without the tenant clicking the link, but we recommend you ask them to do so, as this is logged in the report’s activity history.

This is your proof that the tenant received a copy of the report, as required by tenancy law, and that the tenant saw the report before signing it.

  5. Have the tenant sign and thereby confirm receipt of the report by clicking 'Underskriv lejer'

The tenant signs the same way as you, by writing directly on the screen.

Note: The tenant can reject signing the inspection report by clicking 'Afvis at underskrive' in the signature field.

The tenant’s signature in this field only confirms that the report was received – not that the tenant agrees with the content.

If you want to add an additional signature field where the tenant can confirm agreement with the content, you must manually enable this on your profile.

Read more about how to enable a confirmation field here

  6. Finish the inspection by clicking 'Send og afslut'

Both you and the tenant will receive an email confirmation that the inspection is completed, including information that a signed inspection report is now linked to your rental agreement.

The email also contains a link to each of your respective pages.

You as the landlord are directed to your inspection overview for the rental agreement:

The inspection report is automatically added under the 'Alle dokumenter' section shortly after creation. Please note it may take up to 15 minutes before the report is visible.
See the inspection report under All documents.png

Your tenant is directed to their personal tenant portal:

You can always find your completed inspection reports under 'Inspection reports' in your profile – or directly in the app.
