As a landlord on BoligPortal, you can easily and freely use our inspection tool to carry out and document your move-in and move-out inspections.
You can either create your inspections directly on your profile on the website – either via the 'Inspection reports' tab or directly in the overview of all rentals – or you can download BoligPortal's Inspection App.

The inspection is 100% digital. This means that all information is filled in electronically and that the completed inspection report is signed digitally on-screen by all parties.
You can also easily add photos for documentation directly from your device.
Contents of this guide
The process is the same regardless of whether you're conducting a move-in or move-out inspection. The individual items in the inspection differ slightly, however, depending on whether the tenant is moving in or out. Therefore, we go through both inspection types step by step in this guide.
Note: BoligPortal's digital moving report service is only available in Danish, which is why some images and words in this guide appear in Danish.

How to create a move-in inspection on BoligPortal
We recommend setting up the move-in inspection in advance, so that all base information is inserted before the actual inspection with the tenant.
This makes it easy and quick to go through all rooms and units of the rental together with the tenant, so everything is correctly documented at move-in.
You should particularly prepare items 1–4 and item 6 in advance.
Once you’ve prepared the inspection in advance, you can advantageously download the BoligPortal Inspection App and carry out the actual inspection directly on your phone or tablet.
- Go to the 'Inspection reports' tab on your profile, and click the button '+ Opret flytterapport – gratis'
- Select the rental from the list for which you want to create your move-in inspection, or create a new one by clicking '+ Opret lejemål'
It is only possible to create a rental once. If you have already registered your rental on your profile, you must therefore search for it in the list of all rentals.
- Click on the 'Indflytningssyn' option
You will then be taken directly into the inspection report builder, where you must complete all parts of your inspection.

You can advantageously expand the boxes below to get more details about each part of the 'Detaljer om synet' section, including help and good advice for filling it in.
Vælg lejeforhold (Select tenancy)Select the tenant(s) moving into the rental from the drop-down menu.
If you have already added one or more tenants to the rental, for example under the 'Tenancies' tab or in connection with creating the lease contract through BoligPortal, the tenant will already appear in the list.
If the tenant does not appear in the list, you simply need to create a new tenancy, consisting of one or more tenants, by clicking 'Nyt lejeforhold'.Datoer (Dates)Enter the date for invitation and execution of the inspection. For the execution date, you must also enter the time of day.
Important: You must make sure to actually invite the tenant to the inspection – e.g., via email or SMS. The invitation date is simply noted in the inspection so it's documented in the final report that you invited the tenant on the given date.
14 dages fejl- og mangelperiode (defect and deficiency period)If you as a landlord are covered by the rules regarding mandatory move-in inspections – which is generally the case if you rent out more than one unit – you must make sure the box 'Indhent fejl og mangler fra lejer' is checked.
Regardless of your rental volume, we still recommend collecting defects and deficiencies from your tenant. It ensures clarity and a good start to the tenancy.
When the box is checked, your tenant will automatically receive a link via SMS and email when the 14-day period starts, allowing them to report defects and deficiencies in the rental.
The tenant can freely note defects, damages, and deficiencies found in the property. They can also upload images for additional documentation.

As a landlord, you will be able to monitor the tenant’s reports as they are submitted, and you’ll be notified when the reporting period ends. All submitted defects and deficiencies will then be properly documented and stored on your profile.
Udlejer/synsrepræsentant (Landlord/inspection representative)In this section, you must specify the person who will practically carry out the inspection. This can either be yourself as landlord or an inspection representative – e.g., a janitor, co-owner or administrative employee.
If you check the box 'Gør det muligt at foretage syn via link' (Enable inspection via link), an administrator link to the report will be automatically generated.
This allows your inspection representative to open and complete the report via BoligPortal’s Inspection App, without needing access to your profile.
Note: You must not share this link with your tenant. The link is strictly for the person conducting the inspection on behalf of the landlord.

Kopimodtager (CC recipient)If you need others besides yourself to receive information about the inspection, including the completed report, you can add them as CC recipients in this field.
Just enter their email addresses, and they will receive copies after the inspection is completed.
Note: You should not enter your tenant’s email here. This is strictly for internal use – for example, if a janitor or administrator needs access to the inspection documents.
Your tenant will automatically receive the final inspection report after the inspection is completed.
Tilføj syn til kalender (Add inspection to calendar)If you want to add the inspection to your own calendar, click 'Tilføj til egen kalender'. This will automatically open your email program on the device you're using and create an event.
If you want to send a link to the event by email, click 'Send begivenhed i e-mail'. This creates the inspection as a calendar event which you can forward by mail.Note: You should not use this feature to invite the tenant to the inspection. The event contains a link to the editable inspection report, which must not be shared with the tenant. This function is therefore for internal use only – for example for scheduling with a janitor, co-owner or administrator.

Intern lejemålsnummer (Internal rental unit number)In this field, you can enter an internal rental unit number if you use this in your property management.
- Fill in the 'Lejeroplysninger' tab with all details about your tenant, and indicate whether the tenant is present during the inspection
If there is more than one tenant, simply click '+ Tilføj lejer' and enter their information, just like the first tenant.
If your tenant is not physically present:
If the tenant is not present for the move-in inspection, it is important that you check 'Nej, er ikke til stede', as this affects how the inspection report is signed.
If your tenant has sent someone else – for example a partner, friend, or parent – you must check the box 'Repræsenteres af fuldmagtshaver'.
When you check this, a box will automatically appear where you must write the person’s name and contact details.
You also have the option to add a photo of a power of attorney showing the tenant’s consent for the representative to sign the inspection report on their behalf.
- Fill in the 'Gennemgang af rum' tab to indicate the condition of the rental at move-in
Here you can create the rooms that your rental consists of, and specify whether they have any defects or deficiencies relevant to the inspection.
Once you have finished with each room, click the button 'Færdig'.
The room will then be marked with a green box and a checkmark, indicating that the inspection for that room is complete.

- Fill in the 'Aflæsning af målere' tab by clicking '+ Tilføj måler'
You must then select the appropriate meter from the list – for example for water, heating, gas, and oil – and enter the reading in the field.
You can also note the meter’s name or installation number in the middle field.
You can add as many meters as you need.
We recommend that you attach a photo of the meter via '+ Tilføj billede af måler' for documentation.
- Fill in the 'Nøgler' tab with information about keys and/or access cards to the rental
It is a good idea to document all handed-out keys and access cards at move-in – including keys for doors, sheds, etc., as well as any laundry card for a communal laundry room.
This makes it easy to account for handed-out keys if the tenant loses them during the rental period.
You can add as many fields as you want by clicking '+ Tilføj nøgler/adgangskort'.
We recommend adding photos of all issued keys in the 'Ekstra information' field by clicking '+ Tilføj billede af nøgler'.
Here you can also note special conditions regarding the keys to the rental – for example instructions for use or guidance in case they are lost.
- Optionally register the tenant for an electricity agreement under the 'Tilmelding: El' tab
(NOTE: May only be used if the tenant requests electricity)
When you create a move-in inspection, you have the option to register the tenant for an electricity agreement. This way, neither you nor the tenant have to take care of electricity registration for the rental, and you’re ensured electricity is available on the move-in day.
To register the rental for an electricity agreement, just click 'Tilmeld →' next to the provider the tenant wishes to use, then let the tenant fill in the box that appears and confirm by clicking 'Tilmeld'.
The tenant must fill in their CPR number and check the box granting the provider authorization to set up an automatic electricity agreement.
Note: According to current rental legislation, as a landlord you may only use this service if the tenant themselves wishes to be registered for an electricity agreement during the move-in inspection.
The tenant has the right to choose their electricity agreement. Therefore, you as the landlord may not select an agreement on behalf of the tenant. The tenant must choose the provider and fill in the form – including their CPR number. You may not do this on the tenant's behalf.

- Fill in the 'Afslut, underskriv og send' tab to complete the inspection and create the final inspection report
Click the 'Gennemse rapport' button to view and go through the move-in report with the tenant.
Then, as the landlord, you must sign the report. You sign by clicking 'Underskriv – udlejer' and writing your signature in the white box – either with your finger or mouse, depending on the device you're using. Finish by clicking the checkmark.
Once you’ve signed, the report is automatically sent to the tenant via a link by SMS and email. Encourage the tenant to click the link, as this is logged in the report and thereby proves that the tenant has received and seen it.
The tenant can then sign the report by clicking 'Underskriv – lejer'. The tenant also signs directly on-screen with their finger or mouse.
Note: The tenant’s signature solely confirms receipt of the report. The signature does not confirm that the tenant agrees with the contents.
Finish by clicking 'Send og afslut'.

How to create a move-out inspection on BoligPortal
We recommend that you set up the move-out inspection in advance, so that all basic information is ready for the actual inspection.
This makes it quick and easy to go through all rooms and units of the rental together with the tenant, ensuring everything is documented correctly.
You should particularly prepare items 1–4 and item 6 in advance.
You can advantageously download BoligPortal's Inspection App and carry out the inspection directly on your phone or tablet.
Note: If you previously created a move-in inspection for the selected rental, the entered information will automatically carry over to your move-out inspection – including the 'Gennemgang af rum' and 'Nøgler' tabs.
You may therefore find that parts of your move-out inspection are already marked with a green checkmark when you create it.
- Go to the 'Inspection' tab on your profile and click the '+ Opret flytterapport – gratis' button
- Select the rental from the list for which you want to create your move-out inspection, or create a new one by clicking '+ Opret lejemål'
It is only possible to create a rental once. If you have already registered your rental on your profile, you must therefore search for it in the list of all rentals.
- Click on the 'Fraflytningssyn' option
You will then be taken directly into the inspection builder, where you must complete all parts of your inspection.

If the tenant is not listed, you simply need to create a new tenancy consisting of one or more tenants by clicking 'Nyt lejeforhold'.Datoer (Dates)Enter the date for invitation and execution of the inspection. For the execution date, also enter the time of day.
Important: You are responsible for inviting the tenant to the inspection – for example via email or SMS. The invitation date is simply noted in the inspection to document in the final report that the tenant was invited on that specific date.
For move-out inspections, you are legally required to invite the tenant in writing with at least one week's notice unless the tenant gives explicit consent to shorten the deadline.
Therefore, if you enter an inspection date that is less than one week after the invitation date, a yellow warning box will appear.
Udlejer/synsrepræsentant (Landlord/inspection representative)In this section, specify the person who will practically carry out the inspection. This can either be you as the landlord or an inspection representative – e.g., a janitor, co-owner, or administrative employee.

Internt lejemålsnummer (Internal rental unit number)In this field, you can enter an internal rental unit number, if you use one in your property management.
- Fill in the 'Lejeroplysninger' tab with the tenant's contact and payment information and whether they are present during the move-out inspection
If there is more than one tenant, simply click '+ Tilføj lejer' and fill in the information, just as with the first tenant.
You only need to provide payment information and new address for one of your tenants if there are multiple. Simply check off the relevant tenant.
If your tenant is not physically present:
If the tenant is not present for the move-out inspection, it is important that you check 'Nej, er ikke til stede', as this affects how the report is signed.
If your tenant has sent someone else – for example a partner, friend or parent – check the box 'Repræsenteres af fuldmagtshaver'.

- Fill in the 'Gennemgang af rum' tab to indicate the rental's condition at move-out
Together with the tenant, you must go through the entire rental and all its units and inventory. This allows you to compare the rental’s condition with its state when the tenant moved in, in order to carry out a final settlement.
If you previously conducted a move-in inspection for this rental, the previously entered rooms and units will automatically appear in the overview.
If not, simply create all rooms and units so you can indicate whether they contain any defects or deficiencies relevant to the inspection.
Once you're done with each room, click the 'Færdig' button.
The room will then be marked with a green box and a checkmark, showing that the inspection is completed for that room.

You can add meters by clicking '+ Tilføj måler', selecting the appropriate meter from the list – such as water, heating, gas or oil – and entering the reading in the field.

- Fill in the 'Nøgler' tab with information about keys and/or access cards to the rental
Here you must note that the number of keys returned by the tenant matches the number given at move-in.
We recommend uploading photos of all returned keys using the 'Ekstra information' field by clicking '+ Tilføj billede af nøgler'.
You can also note any special circumstances regarding keys for the rental – for example if the tenant lost keys or access cards, or what happens to a remaining balance on a laundry card.
- Fill in the 'Afslut, underskriv og send' tab to complete the inspection and create the final inspection report
We recommend clicking 'Gennemse rapport' and reviewing all information in the inspection report together with the tenant.
Then, as the landlord, you must sign the report. You sign by clicking 'Underskriv udlejer' and writing your signature in the white box – either with your finger or mouse, depending on your device. Complete by clicking the checkmark.
Once you’ve signed, the report is automatically sent to the tenant via SMS and email. Have the tenant click the link, as this will be logged in the report and thereby proves the tenant has received and viewed it.
The tenant can then sign the report by clicking 'Underskriv lejer'. The tenant also signs directly on-screen with their finger or mouse.
Note: The tenant’s signature only confirms receipt of the report. The signature does not confirm that the tenant agrees with the content.
